Position Description

Likely based in Asylum Access’s Mexico City, Mexico Office, the Development and Communications Coordinator is a full-time position that works closely with and reports directly to the Associate Director of Development and Communications. This position will support the fundraising team to ensure all funders are touched frequently and to ensure the smooth operation of CRM systems, enabling the team to work most efficiently and effectively. The position demands effective customer service/sales capabilities, good writing skills, high attention to detail, and an understanding of data management and analysis to help sustain and grow fundraising capacity.

Key Responsibilities

  • Assist Associate Director of Development and Communications in stewardship of all donors and funders through provision of personalized information and materials, including providing updates on key areas of interest, personalized acknowledgment of gifts, etc.

  • Manage grassroots donor relationships, including semi-annual appeal and automated communication updates

  • Manage the collection, storing, and updating of donor and institutional funder data

  • Ensure all donor communications are properly recorded in Salesforce

  • Ensure donor contact information and communication preferences are up-to-date

  • Manage mailing lists and ensure contacts are properly classified

  • Periodically review and clean up data to ensure accuracy and ease of access

  • Create and produce CRM reports

  • Ensure individual donor and funder thank yous are sent promptly

  • Conduct strategic opportunity and mission match research and identify new fundraising opportunities for the organization

  • Develop content for quarterly newsletters, fundraising appeals, and social media

  • Provide travel and administrative support for Associate Director of Development and Communications

  • Manage Associate Director of Development and Communications’ calendar, including scheduling internal and external meetings, travel, conferences and other special events

  • Draft or ghostwrite emails, letters, talking points and other correspondence from Associate Director of Development and Communications to external contacts

  • Support Associate Director of Development and Communications on administrative tasks (providing bios and slides for speaking engagements, completing expense reports, etc.)

  • Actively generate external opportunities contacts and maintain relationships

  • Identify, manage and maintain a database of external engagement opportunities in coordination with development, advocacy and communications team

  • Identify, manage and maintain Public Relations database for Asylum Access with the assistance of available tools

  • Oversee deadline schedule for grants & reports along with key personnel vacation schedule to identify well in advance workload “Hotspots” (where many deadlines fall at once or we are short-handed)

  • Be a team player, willing to pitch-in and support others when needed

  • Other duties as assigned

Minimum Qualifications

  • Excellent written and verbal communication skills

  • Experience customizing and trouble-shooting CRM software, Salesforce experience preferred

  • Close attention to detail

  • Creative and effective problem-solver

  • Fluency in English and Spanish (both written and spoken)

  • Comfortable with online research

  • High degree of professionalism

  • Proficiency in Microsoft Office (Word, Excel, Powerpoint) and Google Docs

  • Team-oriented and collaborative

Additional Preferred Qualifications

  • Comfortable taking initiative; proven ability to take a project from idea to implementation

  • Experience with analytics

  • Comfortable adapting to different written and verbal styles

  • Comfortable working in multicultural environments

  • Experience working with vulnerable populations, sensitive to their needs and associated risks

  • In-depth familiarity with Salesforce a huge plus
